What information I collect

The information collected may include your name, contact details, relevant health information, and details about your lifestyle or activity that help me provide the most appropriate service.

If you choose to leave a review or share a success story, this may also include your rating, written feedback, a title for your story  and any photograph you choose to upload.

Only information that is relevant to your massage care and communication preferences, feedback or the services you have requested is collected.

  • Sign up for emails or free taster sessions
  • Complete my review or success story form
  • Contact me via the website, phone, or social media

How your information is used

  • Deliver the massage and related services you request
  • Confirm and remind you of appointments

  • Display reviews or success stroies on my website where you have given permission for this
  • Share a review or success stroy, including an uploaded photograph, on my social media channels where you have given permission for this

I do not share your personal information with anyone unless you specifically request me to, or where this is necessary for trhe services and systems I use ro operate my business.

If a health professional asks for a report, I will only prepare one with your consent, and you will receive a copy.

Your data is never sold, and every effort is made to keep your details safe and secure.

Reviews and Success Stories

I value feedback from my clients and may invite you to leave a review or share your experience of working with me.

If you choose to submit a review or success story through my website, I will collect the information you provide for the purpose of receiving and managing your feedback.

You do not have to give permission for your story or photograph to be published. Any permission to share your story, photograph or other infomration publicly is optional and must be actively given through the relevant consent box on the form.

Where you give permission, your review or success story submitted through my website may be displayed on the Poise Sport & Remedial Massage website and may also be shared through my social media channels.

You can withdraw your permission for your story or photograph to be used publicaly at any time by contacting me at gail@poiseremedialmassage.com.  I will then stop using the material for future publication and, where reasonably practicable, remove it from my website and social media channels. 

Photographs submitted through the Success Story form are stored locally on the website’s hosting server rather than being stored solely with an external review platform.

Where reviews are displayed on my website, I may use a review display service to retrieve and display publicly available review information.

You may also choose to leave a review for Poise Sport & Remedial Massage directly on Google or make a recommendation on Facebook. These reviews are submitted directly to those platforms and are subject to their own privacy policies and terms. Marketing and newsletters

If you have chosen to receive marketing emails or newsletters, I may send occasional updates about my services, offers, or useful information.

How I keep your information secure

All personal information is kept securely in locked files and password-protected systems.

Digital data is stored in:

  • HubSpot CRM, which uses advanced TLS encryption and 2048-bit keys. (see HubSpot Security)
  • AWeber, which I use for online forms and newsletters. (see AWeber Privacy Policy)
  • WP Social Ninja, which I use to collect and display reviews and success stories submitted through this website
  • GoDaddy, which securely hosts my website and may temporarily store enquiry form submissions on EU or UK servers

Photographs submitted through the Success Story form are stored locally on my website’s hosting server.

All online booking communication is encrypted and protected by SSL certificates.

Lawful basis for processing

I process your personal data:

  • To fulfil my contractual obligations when providing massage services
  • To comply with legal and insurance record-keeping requirements
  • Where necessary for my legitimate interests in managing, client relationships, feedback and reviews, provided those interests do not override your rights and interests
  • With your consent for marketing and newsletter communications
  • With your consent where you choose to allow your success story, photograph or other submitted content to be shared publicaly.
Where I rely on consent, you can withdraw that consent at any time.

How long I keep your information

Your clinical and treatment records are kept for seven years after your last treatment, in line with professional body guidance and insurance requirements. After this period, these records will be securely deleted or destroyed, unless there is a legal, insurance or other legitimate reason why they need to be kept for longer.

Some personal information may be kept for a different period where there is an ongoing reason for doing so. For example, if you have chosen to receive my newsletter, I may continue to hold the contact details and marketing preferences needed to provide this until you unsubscribe.

Information submitted as a review or success story may be retained for as long as it is reasonably necessary for the purpose for which it was submitted, including where you have given permission for it to be displayed publicly. If you withdraw permission for public use, I will remove the material from future use and, where reasonably practicable, from the website and social media channels.

Your rights

You have the right to:

  • Request a copy of the information I hold about you
  • Ask for corrections to inaccurate data
  • Withdraw consent for processing where consent is the lawful basis
  • Request deletion of your records when legally appropriate
  • Ask me to stop using your sucess story or photograph for public display where you have previously given permission

I will respond to all data requests within one month.

If you are unhappy with how your data is handled, you have the right to complain to the Information Commissioner’s Office (ICO) at www.ico.org.uk.

Cookies and analytics
